Purpose:

The primary purpose of this position is to be available to greet and assist visitors to the company by providing a comfortable and professional environment. This position also provides front office administrative support with special emphasis on the coordination of the fleet management program.

Essential Functions/Duties:
  • Greets and directs visitors of the company.
  • Coordinates the fleet management program.
  • Provides phone support as needed.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Receives, sorts and forwards incoming mail. Maintains and routes publications.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Assists with other related clerical duties such as photocopying, faxing, filing, and collating.
  • Assists the front office with various corporate projects.

Requirements

Physical requirements:
  • Sitting (frequently/constant). For sustained periods of time with the ability to get up and move around occasionally.
  • Standing (frequently).  For sustained periods of time on hard surfaces.
  • Walking (occasionally).  Moving on or about on foot to accomplish tasks.
  • Typing (constant). Using a computer keyboard, mouse, and phone keypad.
  • Talking (constant). Expressing or exchanging ideas by means of the spoken word.
  • Hearing (constant). Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and document accurately what was heard in the client profile.
  • Seeing (constant). Ability to see in the following manner with or without corrective lenses: ability to read/see near or far, judge distances, and identify colors.
  • Attendance and punctuality (regular/predictable). Regular/predictable attendance and punctuality for this position is required, compliance required at every level.
  • Ability to work in a noisy, distracting environment.
 
 
Position Type/Expected Hours of Work:
This is a full-time position. Days and hours of work Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional earlier/later work times may be needed.
Required Education and Experience:
  • Experience in customer service or support position required
  • Computer proficiency and technical aptitude with the ability to use MS Word, Excel, PowerPoint, Access, ADP, and/or other HRIS-related systems.
  • Project and team management/leadership skills and experience. Proven ability to work effectively in a team environment with associates. Capability of effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
  • Strong analytical skills and a thorough knowledge of plan designs. Ability to understand, evaluate and make judgment on the proposals (RFPs).
  • Excellent communication and organization skills.
  • HS diploma or equivalent required (Associate degree or higher in business administration preferred)
  • Successfully complete a hair follicle drug screen and criminal background check
